WhatsApp Appointment Booking That Writes Straight Into Your Google Calendar

Most Malaysian appointment businesses lose bookings the same way. A customer messages on WhatsApp at 9pm asking for a slot this Saturday. Nobody is at the counter. By the time someone replies the next morning, copies the name and time into the calendar, and messages back, the customer has already booked somewhere else.

The booking was never the problem. The gap between the WhatsApp chat and your calendar was.

ForwardChat now closes that gap. Your AI takes the booking inside the WhatsApp conversation, confirms the date with the customer, and writes the appointment straight into your Google Calendar. Automatically, day or night, with no one copying anything by hand.

How it works

It rides on the same lead capture your AI already does, with one extra field: the appointment date and time.

  1. A customer asks to book. The AI replies and collects the few details you need (name, service, and a preferred date and time), the same short fill-in form your AI already uses.
  2. The AI reads the date in Malaysia time. It turns a casual phrase like "next Tuesday 3pm" or "esok petang" into a real date, then restates it: "Just to confirm, that is Wednesday, 1 July at 3pm. Is that correct?"
  3. The customer confirms. Only after the customer says yes does the booking go through.
  4. The event lands in your Google Calendar. A one-hour slot appears with the customer name and the details from the chat, plus a link back to the conversation so your team has the full context.

Your staff open Google Calendar in the morning and the night's bookings are already there.

Why the confirm-back step matters

A booking on the wrong day is worse than no booking. It burns a slot, annoys the customer, and costs you a no-show.

That is why the AI never guesses. It resolves the date, repeats it back with the day of the week, and waits for a clear yes before it writes anything. If the time is in the past or too vague to be sure, it does not create an event at all. The lead is still saved in your dashboard either way, so nothing is lost, but a wrong appointment never quietly appears on your calendar.

Set up in minutes, no Google login

You do not connect your Google account through a login screen. You simply share one calendar with our service account and paste in the Calendar ID, the same approach as our Google Sheets lead sync. There is no OAuth, no password, and no access to the rest of your Google Drive. You own the calendar, and you can switch the sync off any time by removing the share.

Who this is for

This is for any Malaysian business that runs on appointments:

  • Clinics, dental, physio and aesthetic centres
  • Salons, spas and barbershops
  • Tuition and enrichment centres taking trial class bookings
  • Repair, cleaning and home services
  • Agencies and consultants booking discovery or strategy calls

If your customers book a slot, your AI can now take that booking on WhatsApp and put it on your calendar.

Included in Growth, no extra add-on

Google Calendar booking sync is included in the ForwardChat Growth and Pro plans at no extra cost. So is Google Sheets lead sync. You see both working during your free trial, before you pay a cent.

If you are tired of bookings slipping through overnight and appointments copied by hand, this is the upgrade that pays for itself the first time your AI catches a Saturday booking while you sleep.

Start your free trial or book a quick demo and we will set it up around your own calendar.
