Why one shared WhatsApp inbox needs real permissions

When your whole team works out of a single WhatsApp Business number, everyone is standing in the same room. A part timer answering evening chats and a manager reviewing the month both open the same dashboard. Without controls, they both get the same power, and that is where accidents happen. A new hire clicks the wrong button and a promo goes out to your entire contact list. Someone edits the AI knowledge and suddenly the bot quotes the wrong price.

What can I control for each staff member?

Access is set per user and per feature area, and each area gets one of three levels: none, View, or Edit.

  • None means the area is simply not there for that person. They do not see it.
  • View means they can open and monitor the area, for example read conversations, look at broadcasts, or check analytics, but they cannot send, edit, or change anything.
  • Edit means full access to act: reply to customers, send broadcasts, and change the settings for that area.

So a supervisor might get View on broadcasts and Edit on conversations, while a junior gets Edit on conversations only and nothing else. You mix and match per person. Your salesperson lives in the chats, your marketing lead owns broadcasts, and the intern sees exactly one screen.

Can my staff see chats without being able to send?

Yes, and this is the part owners tend to like most. A view-only user opens a conversation and sees the whole history, but the reply box and the send button are gone. It is not a cosmetic trick. The buttons are hidden for view-only users, and the backend also blocks any write, so even a clever attempt to send is refused. Hiding the button is the courtesy. The server enforcing it is the guarantee.

There is a quieter benefit built into this. When a view-only supervisor opens a customer conversation, it clears their own unread badge, but it does NOT send a WhatsApp blue tick to the customer. In plain terms, a manager can watch how the team is replying without the customer ever seeing "read". You get to coach your staff on real conversations, and the customer experience is untouched.

Picture a manager checking in on a Saturday shift. A part timer is handling this:

Customer: Hi, the aircond service package still RM180 ke? Staff: Yes boss, RM180 for one unit, includes chemical wash. Nak book bila?

The manager, on View, can read that exchange, see the tone, and notice if a price is wrong, all without the customer knowing anyone else looked. If the reply needed fixing, the manager coaches the staff after, not in front of the customer. This is the calm way to keep quality up as your team grows, and it pairs naturally with a clean sales handoff between the AI and your human team.

What happens when I change someone's access while they are logged in?

Permission changes apply live. If you grant a staff member Edit on broadcasts, or pull it back, the change reaches their screen within about a minute. Nobody has to log out and back in, and you do not have to wait for tomorrow.

That matters more than it sounds. Say you are about to run a big campaign and you want your marketing lead to handle it today, then lock it again after. You flip them to Edit on broadcasts, they send the campaign, and once it is done you set them back to View. The window of access opens and closes on your terms, in real time, while everyone stays working.

Here is a quick dashboard scenario. Your new hire logs in on their first morning. You have given them Edit on conversations and View on analytics, nothing else. They see the chat inbox and a read-only analytics page. No broadcasts tab, no settings, no billing. Halfway through the day you decide they are ready to see broadcasts too, so you switch that area to View. About a minute later the broadcasts screen quietly appears for them, in monitor mode. They never left their seat.

Admin, Staff, and why the owner stays the owner

ForwardChat separates an Admin from a Staff member, and it draws a hard line at the top. The system is hardened so that a normal admin cannot escalate themselves into the super admin owner account.
