WhatsApp Interactive Replies: Tappable Menus, Buttons, Exact Answers, Photos and PDFs
Most WhatsApp bots have one move: they type a paragraph back. The customer skims it, mis-types a reply, asks the same question a different way, and half of them drop off before they ever reach the point of buying.
The fix is not a smarter paragraph. It is replying in the format that moves the customer to the next step fastest. A good WhatsApp AI should be able to send a tappable menu when there are options, a one-tap button when it just needs a yes, the exact price when the wording matters, a photo when the customer wants to see it, and a PDF when they want the full list to keep.
ForwardChat supports all of these as native WhatsApp message types. Here is when to use each one, with real examples.
1. Smart text: the natural reply
This is the default. The AI reads your knowledge base, understands the question, and writes a natural answer in the customer's language (Bahasa Malaysia, English, Chinese, or Manglish). Use it for open questions where a human-sounding answer wins.
Customer: Hi, korang ada wifi & sesuai tak nak study?
AI: Hi! Yes, free WiFi (password kat counter) and we have quiet corner seats with plugs at every table. Ramai students study here on weekday afternoons. Nak saya reserve a corner spot for you?
2. Tappable menu: up to 10 choices in one tap
When the customer is choosing from a set list (treatments, packages, branches, services), a menu beats a wall of text. They tap, no typing, no spelling mistakes, no "which one ah?" back and forth.
Customer: Nak tempah rawatan, ada apa ya?
AI: Sure! Pilih rawatan yang you berkenan. (taps open a menu)
- Facial Treatment (from RM68)
- Botox (from RM588)
- Filler (from RM788)
- Pakej Bridal (custom quote)
The menu is deterministic. The AI is not guessing, it is showing exactly the options you configured. That makes it perfect for bookings and price-led businesses, and it is also the foundation of a "menu only, no AI guessing" setup if that is what you want.
3. Quick buttons: one to three instant choices
For a simple confirm or a yes or no, buttons sit right inside the chat bubble. One tap and the conversation moves on.
AI: Slot Sabtu 3:00 PM dengan Dr. Lina ada! Nak saya confirm?
[ Confirm booking ] [ Tukar masa ] [ Batal ]
Buttons are faster than typing and, like menus, fully deterministic. Great for appointment confirmations, order confirmations, and "continue or speak to a human" branches.
4. Exact reply: word for word, every time
Some answers you want under your control to the letter. Prices, deposit terms, refund policy, the legal line. An exact reply sends your text verbatim, with zero AI rephrasing.
Customer: Macam mana nak bayar deposit?
AI: Deposit booking ialah RM50 (akan ditolak dari jumlah rawatan). Bayaran melalui DuitNow ke 012-345 6789. Sila hantar resit untuk pengesahan slot.
If the AI ever paraphrased a price or a policy, that is a problem. Exact replies remove that risk for the answers that matter most.
5. Image reply: send the photo back
When a customer asks to see something, the AI can send a photo straight into the chat: a product shot, a menu card, a DuitNow QR, a price list image, with a caption.
Customer: Ada red velvet tak? Boleh tengok?
AI: (sends a photo) Ni dia our bestseller Red Velvet. Whole cake RM89 (8 inch), slice RM12. Nak order?
6. Document reply: drop a PDF into the chat
For the full price list, a brochure, a registration form, or a spec sheet, the AI can send an actual PDF or file that the customer can keep and forward to a colleague or spouse.
Customer: Boleh hantar senarai harga penuh dalam PDF?
AI: (sends Price-List-2026.pdf) Ni senarai harga penuh kami. Any treatment you nak tahu lebih detail, just tanya ya!
This is the format most "type-only" bots cannot do, and it is exactly what a serious buyer asks for before they commit.
Deterministic when it should be, smart when it should be
Notice the pattern. Menus, buttons, and exact replies are deterministic: the customer gets exactly what you set, no AI in the loop. Smart text is generative: the AI composes a fresh, on-brand answer. Image and document replies are deterministic delivery of your media.
That mix is the point. You use AI where a human-sounding answer helps, and you remove the AI where precision and speed matter (prices, bookings, confirmations). One number, one inbox, every kind of reply.
Why this lifts conversion
Every extra step a customer has to type is a step where they can drop off, mis-spell, or go quiet. Tappable menus and buttons cut typing to a single tap. Exact replies stop wrong prices going out. Photos and PDFs answer "can I see it first?" without making the customer leave WhatsApp. The result is fewer dropped conversations and faster bookings, with no extra staff.
What you configure (and what is done for you)
During White Glove Setup, our team configures these reply types for you based on your real questions: which enquiries should open a menu, which need a button confirm, which prices must be exact, and which files (price lists, brochures) the AI should send on request. You do not touch JSON or build flows. You tell us how your business answers, and we wire the AI to match.
These reply formats are available across plans. See pricing for the full breakdown, or compare ForwardChat to other platforms on the comparison hub.
Frequently asked questions
Can a WhatsApp chatbot send tappable menus and buttons? Yes. WhatsApp Cloud API supports interactive messages: reply buttons (one to three options) and list messages (up to ten options). ForwardChat sends these natively, so customers tap instead of typing.
Can the AI send a PDF or document on WhatsApp automatically? Yes. ForwardChat can send a PDF or file (for example a full price list or brochure) as a reply when a customer asks for it, with an optional caption. The file is configured by our team during setup.
What is the difference between an exact reply and a smart reply? An exact reply is sent word for word with no AI rephrasing, ideal for prices and policies. A smart reply is composed by the AI using your knowledge base, ideal for open, conversational questions.
Can I run a menu-only setup with no AI replies? Yes. Because menus and buttons are deterministic, you can run a tap-driven experience with the AI kept out of the loop, then add smart replies later if you want.
